OX Mail is a personal email address solution, a customised email address that matches your website domain name. Many people use free email services like Gmail, Yahoo or Hotmail and there’s nothing wrong with that, but a personal mailbox matching your company’s name looks more professional and trustworthy. It helps with the recognition of your brand and leaves a good impression with partners and customers. Additionally to the email, OX Mail includes calendar, contacts, and task management, and allows you to share documents and files with your team or customers. Email Address FAQ

Yes, you most certainly can do that. We offer three different email plans, Basic Email, Advanced Email and Professional email. Each domain name registered with us gets per default one free Basic Email address. This email address can simply be redeemed once you have your domain name in your account with us, either after you registered it or you transferred it in.

To activate your free mailbox, you can follow these simple steps:

  1. Log in to your Octopoly account.
  2. Go to DOMAIN NAMES > ACTIVE.
  3. Hover over your domain name and click MANAGE.
  4. Click on ACTIVATE FREE EMAIL under the Add-ons section.
  5. Click on the REDEEM FREE EMAIL ACCOUNT button.
  6. Choose your username for your email and enter it into the field.
  7. Leave the default MX record settings if you want to use our free DNS infrastructure. The system will then also fill out all technical settings automatically.
  8. Enter and confirm your password and click on ACTIVATE.
  9. Done. You will receive an email that your mailbox has been setup and is ready for use. You will find it in your account under PRODUCTS > EMAIL.

Creating an email account with us is very simply. You can order your email package during the domain registration process, or add it once your domain is in your account. Either way, you only need to go into your domain account and click on PRODUCTS > EMAIL and add a new mailbox there. It only takes a few clicks to setup your new email address.

Yes, you can use the Open-Xchange Mailbox with your own email client, for example Apple Mail, Outlook or Thunderbird. Please use the following details for the setup:

  • POP3 Server: POP.openxchange.eu / port: 993 / Security SSL
  • IMAP Server: IMAP.openxchange.eu / port: 993 / Security SSL
  • SMTP Server: SMTP.openxchange.eu / port: 587 / Security TLS or STARTTLS

Please note, that the outgoing mail server (SMTP) requires authentication.

You can configure your mail client (Outlook, Thunderbird, Apple Mail, mobile device, etc.) using the following instructions:

  • Incoming mail server (IMAP): imap.openxchange.eu
  • or
  • Incoming mail server (POP): pop.openxchange.eu
  • Outgoing mail server (SMTP): smtp.openxchange.eu

Please use for the outgoing mail server (SMTP) the same authentication credentials as for the incoming server.

If you use our nameservers, the MX Records are being configured automatically. To make sure that you will receive emails and in case you use your own nameservers, please verify that the following records are set:

To prevent your emails from being flagged as spam, you can add the following TXT and SPF records to the domain zone file:

In case your domain is using our name servers, the system sets these records automatically. If you are using your own name servers, you need to contact your DNS provider to add these records to the zone file of your domain name.

IMPORTANT: We highly recommend that you use the following ports and encryption methods to connect to the mail servers:

POP: 995 SSL
IMAP: 993 SSL
SMTP: 587 TLS

Very active email users might encounter the problem that their mailbox runs out of capacity. If that happens, there are two options to solve this:

A) Upgrade to the next higher plan in order to increase your capacity. The following article explains how you can upgrade your mailbox.

B) In case you don´t want to upgrade your email package, you can simply delete any old and unneeded emails from the server. As the server has no capacity left, you also can´t move them into the Trash. Follow the steps below in order to delete emails:

  1. Login to your webmail account. Use the mailbox name (your email address) and your password (the one you used when creating the mailbox).
  2. In the upper right corner, click on the menu icon (the three bars) and select SETTINGS.
  3. In the side panel on the left side, go to EMAIL and check the option "permanently remove deleted email messages":.
  4. After you have activated this option, you can return to your mailbox folders and select and delete unneeded emails.
  5. Once you finished permanently deleting all emails you no longer need, you should deactivate "permanently remove deleted email messages" option again, to avoid any accidental deletions of emails.

Please note: Permanently deleting email messages is irrevocable. All emails you delete while this option is active, are permanently lost. We recommend to backup your emails locally in case you are worried to lose any important email.

You can backup the content of your mailbox locally on your computer. You can do that by connecting via IMAP and copy the emails and mail folders from the IMAP mail folders to the local mail folders of your mail client (Outlook, Thunderbird, Apple Mail, etc.).

The IMAP settings to be configured on your local mail client are the following:
- Incoming mail server (IMAP): imap.openxchange.eu
- Outgoing mail server (SMTP): smtp.openxchange.eu

We recommend you to use the following ports and encryption methods to connect to the mail servers:
IMAP: 993 SSL
SMTP: 587 TLS

To set up email forwarding for your email address, follow the below procedure:

  1. Log in to your Octopoly account.
  2. Go to DOMAIN NAMES > ACTIVE.
  3. Hover over the domain and click on MANAGE.
  4. Click on MANAGE ZONE under the Name server section on the left side.
  5. Click on NEW RECORD in the panel below and select MAIL FORWARD.
  6. Select SINGLE RULE and Enter your email address into the mail address field.
  7. Enter the destination email address in the Forward to field.
  8. SUBMIT the record and click on SAVE ZONE.

Please note, you can only forward email addresses with this method if the related domain name is using our Octopoly name servers and if the domain has a correctly setup MX record.

In case you have signed up for the Advanced or Pro mail subscription, you can use the ActiveSync server to connect your mobile device across all devices (iOS, Android, or Windows Phone): openxchange.eu

To setup OX ActiveSync on your iPhone, follow these steps:

  1. On your iPhone go to Settings > Mail, Contacts, Calendars > Add Account
  2. Select the Exchange option
  3. Enter your Email, Password and Description and click on Next
  4. Fill-in the required information:
    • Email :
    • Server : openxchange.eu
    • Username : (This is your email address)
    • Password : (Password you've created during email address creation)
  5. Click on Next and Save

In case you have a basic or advanced mailbox, you can upgrade your mailbox to add more storage or features. Please follow the steps below:

  1. Log in to your Octopoly account.
  2. Go to PRODUCTS > EMAIL.
  3. Hover over the concerned domain name and click on the VIEW icon on the right.
  4. Now click on MANAGE.
  5. Select the new package you want in the drop-down menu and click UPGRADE.
  6. Check the details on the payment page and check the terms and conditions box and click on PLACE ORDER.
  7. Once the payment is done you will find your upgraded mailbox in your account under PRODUCTS > EMAIL.

Webmail allows you to add an external mailbox, hosted by a different provider (e.g.: Gmail, Outlook, etc.). You can do that within the webmail interface, following these steps:

You need to have the current mailbox settings information including IMAP, POP and SMTP servers, the port numbers and the encryption method which is used. Please contact your mail service provider to receive this information.

  1. Once you have this information, login to your webmail account. Use the mailbox name (your email address) and your password (the one you used when creating the mailbox).
  2. In your webmail account click on the Menu button (the three bars) and there on SETTINGS.
  3. In the left side panel select ACCOUNTS.
  4. Click on ADD ACCOUNT and EMAIL ACCOUNT.
  5. Click on MANUAL.
  6. Fill in the fields in the Add email account window:
    • Account name
    • Email address
    • Server type
    • Server name
    • Server port
    • Username
    • Password
    • for IMAP or POP and SMTP.
    • Click on SAVE.

Before you consider to delete your email address, we recommend that you backup up mailbox locally on your computer. The best way to achieve that is to connect your mailbox via IMAP and copy all emails and mail folders to your local mail client (Outlook, Thunderbird, Apple Mail, etc.).

Use the following IMAP settings to connect:
- Incoming mail server (IMAP): imap.openxchange.eu
- Outgoing mail server (SMTP): smtp.openxchange.eu

We recommend you use the following ports and encryption methods to connect to the mail servers:
IMAP: 993 SSL
SMTP: 587 TLS

Follow the steps below to delete your mailbox:

  1. Log in to your Octopoly account and go to PRODUCTS > EMAIL.
  2. Hover over the concerned domain and click on VIEW and then on MANAGE.
  3. At the bottom of the page click on DELETE THIS EMAIL ACCOUNT.
  4. Confirm by clicking on the YES in the pop-up window.

Please note that deleting your mailbox means that you will lose all data, emails and services that are associated with this account.
